Overview: Direct Deposit
PenSoft has the ability to create a standard NACHA file or Direct Deposit file. This file would be uploaded to the bank or a third party processor.
How to create a Direct Deposit file:
Payroll must be first processed
- Click Checks
- Click Direct Deposit
- Select Originator (If more than one Originator)
- Select Company/Companies (If more than one Company)
- Enter Date Range (this should be the check dates, not the work period)
- Check the Items to include in the Direct Deposit file under Include(Payroll data, Payroll tax deposits, Form 1099-MISC data whichever is applicable)
Options:
- The file can be re-created by unchecking the option 'Exclude items that have already been processed.'
- The Bank may require a pre-note prior to a live Direct Deposit. Can be done by checking the 'Set transaction code for all items to 'Pre-Notification' option.
File Identification:
This information should stay as populated by the program.
- File Date is the date that the file is created
- File Time is the time the file is created
- File ID Modifier: An upper case 'A' is the normal modifier.
This should only be changed when transmitting more than one direct deposit file per day. Each new file that is created step through the alphabet for the ID modifier... use 'A', then 'B', then 'C', etc.
Export File:
The file will be created and saved in the location specified under 'File name', to change this location browse to the desired path.
- Click Create File
- Verify the information on the log, ClickOkay
- Click Journal (make sure that all the information is correctly reported)
Now the file is ready to be uploaded to the Bank/Third Party processor per their instructions.
